Application for Meeting Room Reservation/Use

Meeting Rooms are made available to be used by Massachusetts’ educational, civic, cultural or other non-profit groups for activities that do not conflict with Library’s mission and function as a public service; and booking a room in no way constitutes an endorsement of the program or philosophy of the group or the individuals using the facilities.

Meeting Rooms are available during hours that the library is open.

From September-May: Monday-Thursday, 9:00 AM – 8:00 PM; Select Fridays and Saturdays, 9:00 AM – 3:30 PM.

From June-August: Monday-Thursday 9:00 AM – 5:30 PM; Select Fridays and Saturdays, 9:00 AM – 3:30 PM.

All meetings must be free of charge for those attending.

There is no access prior to the requested time for preparations (no earlier than 8:30 AM) and the room must be vacated thirty (30) minutes before the library closes (no later than 8 PM Mon.-Thurs. from September-May, 5:30 PM Mon.-Thurs. from June-August, or 3:30 PM Fri. & Sat.). Events in the Community Room must also conclude thirty (30) minutes before the library’s closing time. Please allow time for setup and cleanup in addition to program time.

The act of filling out this application does not guarantee the room for your organization. Please do not notify members of your group or consider the room booked until you have received confirmation.

The Holyoke Public Library Board of Directors welcomes public use of meeting rooms by community groups and organizations whose aims are educational, civic, charitable or cultural. The mission of the Holyoke Public Library is to serve the individual needs of patrons of all ages by providing access to recreational, educational, informational and cultural programs and materials in a variety of formats. The Library will strive to serve the patron’s needs promptly, accurately and courteously. The Library will uphold the principle of intellectual freedom by providing access to materials that reflect all points of view.

Room Description

  • The community room is on the ground level adjacent to the lobby on Chestnut St. and is equipped with a small kitchenette and audio visual equipment. Chairs and tables are available.
  • The board room is on the First floor – (Maximum of 15 attendees) Equipped with a large conference table, chairs, and whiteboard. Portable projector available by request.

To Make a Reservation

  • An online application is required and may be filled out through the form to the left. The application must be made at least one week before an event and must be signed by the person who is responsible for the function.
